The role
The Meeting Planner coordinates 150–200 meetings annually across the United States and Canada in in-person, virtual, and hybrid formats.
They manage logistics including room setups, furniture, F&B, AV, housing blocks, and transportation, ensuring alignment with standards.
They collaborate with hotels and vendors, monitor expenses, and assist with budgeting and billing discrepancies.
They serve as the primary day-to-day point of contact for meeting teams, ensuring clear, timely communication and accurate documentation.
They leverage Cvent for registration, housing, and attendee communications, and use Wrike or similar tools to track timelines and tasks.
They support committees, ensure accessibility needs, maintain risk awareness, and travel onsite as needed.
